Sample Approval: The Process That Decides Your Whole Order

In sourcing, the sample is the product you will actually receive — or the closest thing to it. Approval is not a formality: it is the contract that defines "correct" for the entire production run. Handle it loosely and every later argument is about what you "really meant".

What to do with the sample

• Test it as the product, not as a sample: run the functions, check the specs, weigh it, measure it, use it the way your customers will.
• Compare against the written spec item by item — material, dimensions, colour (use a colour code, not memory), wattage, packaging, manual language.
• Test the accessories and packaging too: cables, adapters, manuals, cartons, barcode readability.
• Get a second opinion on anything unfamiliar — certifications, materials, market-specific requirements you are unsure about.

The documentation that saves you

1. Written approval: an email or form listing "approved as sample no. X dated Y, with the following agreed deviations: ..."
2. Photos: photograph the approved sample (all sides, labels, accessories) and share with both sides.
3. Golden sample: agree which physical sample is the reference, where it is kept, and that production must match it.
4. Deviations recorded: anything different from the original spec that you accept — in writing, not verbally.

Common mistakes

• Approving by WeChat thumbs-up with no written list — "approved" means nothing without a reference.
• Checking only appearance and skipping function — the prettiest defect is still a defect.
• Not keeping your own copy of the sample — when the factory's "golden sample" quietly changes, you have no proof.
• Approving the sample but not the production sample from the actual line — hand-made samples and line production are different products.

The sequence that works

Development sample → written feedback → revised sample → golden sample approval → pre-production sample from the line → inline inspection against the golden sample → final inspection. Each gate is cheap compared with the one that follows it.
